The Office Manager Trainer plays a critical role in maintaining Helping Hands Family’s high standards of operational excellence by onboarding, training, and supporting new Office Managers across our network. This individual will ensure Office Managers are fully equipped to manage daily clinic operations, support clinical staff, uphold compliance, and deliver exceptional customer service to families.

Key Responsibilities

  • Develop and implement a structured onboarding and training program for Office Managers (OMs), including live and virtual components.
  • Train new OMs in HHF’s operational systems, policies, workflows, and tools (e.g., scheduling systems, phone and voicemail protocols, time conversion tracking).
  • Provide in-person or virtual training support to new and transitioning OMs during their first 90 days.
  • Conduct periodic refresher training, professional development sessions, and SOP updates.
  • Collaborate with Clinical Directors and the Regional Directors of Operations to ensure OM performance aligns with clinic goals.
  • Create and maintain training materials, manuals, checklists, and resources.
  • Serve as a subject matter expert and first point of contact for OM-related onboarding and training questions.
  • Assist with audits of OM performance and clinic compliance as needed.
  • Participate in the rollout of new operational initiatives and ensure consistent implementation across locations.
  • Travel to clinic locations as needed to support onboarding and site-specific training.

What You Bring:

  • 5+ years of experience as an Office Manager or in a similar administrative leadership role, preferably in a healthcare, behavioral health, or pediatric setting.
  • Prior experience training or mentoring staff highly preferred. Must be proficient in lesson planning and/or instructional design.
  • Strong knowledge of administrative operations, customer service best practices, and healthcare compliance. Previous experience tracking and managing programs implementation and development with clear metric driven outcomes.
  • Ability to communicate effectively with clinical and non-clinical teams.
  • Highly organized with attention to detail and follow-through.
